Overview

Account Management at a glance

Four tools covering the full commercial lifecycle: onboarding, pricing, billing, and growth.

Account Management sits alongside the operational modules but answers a different question — not "what happened in the field," but "who is using the platform, what are they paying, and what do they want next."

Account Management landing page with four cards: Accounts, Pricing, Billing, and Upgrade Requests
Account Management → Accounts, Pricing, Billing, and Upgrade Requests
🏢
Accounts
Manage customer accounts, subscriptions, and module assignments across every organisation on the platform.
💲
Pricing
Configure subscription plans, individual module pricing, discounted bundles, and PTT/COMMS rates — every price is editable.
🧾
Billing

Built for a multi-tenant business. Every subscription plan, module, and bundle price shown throughout this guide is fully editable — the numbers here are illustrative defaults, not fixed platform limits.

Section 02

Accounts

Every organisation on the platform, its subscription status, and its full commercial profile — searchable and filterable.

The Accounts list is the master record of every customer — 405 accounts and counting — with live totals for Active, Pending, Suspended, MRR, and Overdue at the top, and filters for Status, Vertical, and Tier.

Account Management dashboard with 405 total accounts, 4 active, 400 pending, R0 MRR, a search bar, and a table listing 007 Security, PTT Test Org, and Module List Org with vertical, tier, status, contact, and created date
Accounts → Total, Active, Pending, Suspended, MRR, and Overdue counters, with search and Status / Vertical / Tier filters
  • Vertical — Private, Banking, Corporate, Retail, Education, Health, Insurance, Property, Residential, Community, or Security, tagging every account by industry.
  • Tier — Single User, Dealer, or Dealer Pro, controlling module access and white-label rights.
  • Status — Pending, Active, Suspended, Expired, or Rejected — the full account lifecycle at a glance.

Every account, drilled all the way down

Opening an account reveals Organisation, Contact, and Usage at a glance, plus tabs for Overview, Subscription, Modules & PTT, Billing, and Settings — and an Expiry Control to set or clear a hard cutoff date.

007 Security account detail page showing Organisation, Contact, and Usage panels, an Expiry Control with a Set Expiry date picker, and tabs for Overview, Subscription, Modules and PTT, Billing, and Settings, with a Suspend button
Account Detail → Organisation, Contact, Usage (Users, Communities, Modules, PTT Sessions), Expiry Control, and a one-click Suspend
Edit Account modal with Organisation Name, Contact Person, Email, Phone, Billing Email, Registration Number, VAT Number, Physical Address, Province, City, and Brand Name fields
Edit Account → organisation details, VAT/registration numbers, address, and an optional Brand Name for Dealer Pro white-labeling
Delete Account confirmation modal warning the action is permanent, requiring the user to type DELETE to confirm
Delete Account → a type-to-confirm safeguard; users, communities, and events are unlinked but preserved, not deleted

Deletion is deliberate, not destructive. Deleting an account permanently removes its subscriptions, modules, PTT sessions, invoices, and onboarding data — but users, communities, and events linked to it are unlinked, never deleted, protecting operational history.

Section 03

Subscription Plans

Five tiers, from a single-user starter to a full enterprise deployment, each with fully configurable included quantities and overage rates.

Pricing Management opens on Plans — every subscription tier's base fee, included quantities, and per-unit overage rates, editable in one modal without touching code.

Pricing Management Plans tab showing Starter at R799/month, Essential at R1500/month, and Professional at R3500/month, each with included Admins, Responders, Citizens, Communities, Citizen Apps, and Responder Apps, plus overage rates
Subscription Plans → Starter (R799), Essential (R1,500), Professional (R3,500) — each with included quantities and per-unit overage pricing
R799/mo
Starter
Entry-level for small community watches and neighbourhood groups
R1,500/mo
Essential
For established community watches needing patrol and response
R3,500/mo
Professional
For security companies and estates needing dispatch and intelligence
R6,500/mo
Advanced
Multi-site operations with extended intelligence and infrastructure needs
R12,500/mo
Enterprise
Full-scale deployments, government and large security operations

Every field is editable

Edit Plan opens the complete pricing model for any tier: base monthly fee, overage cost per extra Admin/Responder/Citizen/Community, per-app pricing, included quantities, and hard limits — with a live Customer Preview rendering exactly what the client sees before saving.

Edit Plan modal for Starter showing Plan Code, Plan Name, Description, Base Monthly Fee, Sort Order, and Overage Fees per Admin, Responder Block, Citizen Block, Community, Citizen App, and Responder App
Edit Plan → base fee, sort order, and overage fees per Admin, Responder Block, Citizen Block, Community, and each app type
Edit Plan modal continued showing Max Admins, Max Responders, Max Citizens, Max Communities hard limits, an Active toggle, and a live Customer Preview card
Hard limits (Max Admins/Responders/Citizens/Communities), Active toggle, and a live Customer Preview of the final plan card
Create Plan modal with empty Plan Code, Plan Name, Description, Base Monthly Fee, Sort Order, overage fee fields, and included quantities
Create Plan → build a brand-new subscription tier from scratch, for a client-specific package outside the standard five

Overage, not overspend. Every plan includes a baseline (e.g. Starter includes 2 Admins, 5 Responders, 50 Citizens) — growth beyond that is billed automatically at the configured per-unit rate rather than forcing an account onto the next tier.

Section 04

Module Pricing

Every individually-purchasable module on the platform, priced, categorised, and dependency-aware.

Beyond the base subscription tier, every specialised capability on the platform — from Virtual Guardian to FaceMap Intel — is individually priced and can be added to any account à la carte or as part of a discounted bundle.

Individual Module Pricing table listing Citizen App Branded, Responder App, Virtual Guardian, Dispatch Engine, Patrol Management, Geofencing, Health Check, Digital Occurrence Book, Certifications, Live Map, FaceMap Intel, and VOI Intel, each with category, billing type, bundle price, individual price, setup fee, and dependencies
Individual Module Pricing → every module's category (Safety, Operations, Intelligence), billing type, bundle vs. individual price, setup fee, and required dependencies
  • Bundle Price vs. Individual Price — every module has a discounted price when purchased as part of a bundle, and a higher standalone price when added alone.
  • Requires — some modules have dependencies (e.g. Virtual Guardian requires the Citizen App, Health Check and Digital OB require Patrol Management) enforced automatically at activation.
  • Requires Account Tier — a module can be restricted to accounts on a specific subscription tier or above.
  • Billing Type — Flat Rate for most modules, or Per-Unit (App Instance) for Citizen App and Responder App, billed per branded instance.
Edit Module modal for Patrol Management showing Module Code, Module Name, internal Description, User-Facing Description, Bundle Price, Individual Price, Setup Fee, Category, Billing Type, Unit Label, Icon Name, Requires Modules, Requires Account Tier, Sort Order, and Active toggle
Edit Module → internal vs. user-facing description, dual pricing, category, dependencies, and an Active toggle
Create Module modal with empty Module Code, Module Name, Description fields, Bundle Price, Individual Price, Setup Fee, Category, Billing Type, Unit Label, Icon Name, Requires Modules, Requires Account Tier, and Sort Order
Create Module → add a brand-new priceable capability to the catalogue as new features ship

The catalogue grows with the platform. As new specialised modules are developed — a new integration, a new intelligence feed, a new field tool — they're added here once and immediately become available to price, bundle, and assign to any account.

Section 05

Bundles

Interdependent modules grouped at a discounted rate — up to 35% off buying the same modules individually.

Bundles package modules that naturally belong together into a single discounted line item, while still letting a client buy any of those modules individually at the higher standalone price if a bundle doesn't fit their needs.

Module Bundles list showing Citizen Safety Bundle at R3000/mo saving 25%, Responder Operations Bundle at R4500/mo saving 30%, and Intelligence Bundle at R6000/mo saving 25%, each listing included modules
Module Bundles → Citizen Safety, Responder Operations, and Intelligence bundles, each with included modules and a savings badge

Edit Bundle modal for Citizen Safety Bundle showing Bundle Code, Bundle Name, internal Description, User-Facing Description, Monthly Fee, Setup Fee, Savings Percent, Color Theme, Icon Name, Sort Order, and Active toggle
Edit Bundle → monthly fee, setup fee, savings percentage, color theme, and icon — fully rebrandable per bundle
Create Bundle modal with empty Bundle Code, Bundle Name, Description fields, Monthly Fee, Setup Fee, Savings Percent, Color Theme, Icon Name, and Sort Order
Create Bundle → package any combination of modules into a new discounted offering

Buy together, save together. The Responder Operations Bundle alone saves 30% versus purchasing Patrol Management, Health Check, Digital OB, Dispatch Engine, Geofencing, and Certifications individually — the standard upsell path for any account already on the Responder App.

Section 06

PTT / COMMS Pricing

Two separate billing tracks for the platform's push-to-talk and WhatsApp communications hub.

PTT/COMMS pricing is split into two independent tracks because they serve different purposes: WhatsApp Sessions power the backend intelligence hub, while PTT In-App is the push-to-talk radio button inside the mobile and admin apps.

PTT/COMMS Pricing Structure showing WhatsApp Sessions Backend at R500 per session per month with a Communications Pack of 5 sessions at R2000, and PTT In-App Per User at R45 per user per app per month
WhatsApp Sessions (R500/session/mo, or R2,000 for a 5-session Communications Pack at 20% discount) and PTT In-App (R45/user/app/mo)
ItemRateWhat it covers
WhatsApp SessionR500/session/moOne backend WhatsApp connection powering the COMMS hub and group monitoring
Communications PackR2,000/moBundle of 5 WhatsApp sessions at a 20% discount
PTT In-AppR45/user/app/moThe push-to-talk radio button inside Citizen, Responder, and Admin apps, billed per active user per app

Billed separately for a reason. A single WhatsApp session can serve an entire community's group monitoring, while PTT In-App scales per individual user — keeping the pricing model fair whether an account is small with heavy WhatsApp intel needs, or large with many active field radios.

Section 07

Billing Calculator

Model any hypothetical account size against every plan before a client signs — and export the estimate.

The Billing Calculator answers the question every sales conversation starts with: "what would this cost us?" Enter an account's expected Admins, Responders, Citizens, Communities, and any add-on modules, and see the projected monthly cost across all five plans side by side.

Billing Calculator with Client Name field, Export Estimate button, Account Size inputs for Admins, Responders, Citizens, Communities, Citizen Apps, Responder Apps, and a grid of clickable Add-on Modules with prices
Billing Calculator → enter account size, click to select add-on modules, and see live pricing update across every plan
Billing Calculator results table comparing Starter, Essential, Professional, Advanced, and Enterprise plans with Base Fee, Overage, Add-ons, Total per month, and Available status
Results table → Base Fee + Overage + Add-ons = Total/month for every plan tier, with availability status
  • Client Name field — label the estimate for a specific prospect before exporting.
  • Export Estimate — generate a shareable document for the sales or account team, no manual spreadsheet needed.
  • Click-to-select add-ons — toggle any of the 25+ priced modules on or off and watch the total recalculate instantly across all five tiers.

Sales tool first, admin tool second. Use this before onboarding a new account to find the plan that fits — and to show a prospective client exactly where the overage threshold sits before they commit to a tier.

Section 08

Billing & Invoices

Generate, track, and manage every invoice across every active account, in one monthly run.

Billing tracks the full invoice lifecycle — Total, Paid, Overdue, Pending, and Revenue — with search by invoice number, status filtering, and a one-click Generate Invoices action for the entire customer base.

Billing dashboard showing 2 Total Invoices, 0 Paid, 0 Overdue, 2 Pending, R0 Revenue, a search bar, All Statuses filter, Refresh button, Generate Invoices button, and a table of invoices with subtotal, VAT, total, status, and due date
Billing → Total, Paid, Overdue, Pending, and Revenue counters, with a full invoice table including VAT and due dates
Generate Monthly Invoices modal warning this will generate invoices for all active accounts for the selected billing month, with a Billing Month picker set to July 2026
Generate Monthly Invoices → pick a billing month and generate invoices for every active account in one action

One button, every account. Generate Invoices runs the entire customer base's billing for the selected month in a single action — subtotal, VAT, and total are calculated automatically from each account's plan, overage, and active modules.

Section 09

Upgrade Requests

When an account administrator wants more, they ask here — and an approval activates it immediately.

Upgrade Requests is the inbound growth channel: account admins request additional modules directly from their own dashboard, and this queue is where those requests get approved, denied, or held pending a sales conversation.

Upgrade Requests queue showing 69 Pending, 14 Approved, 0 Denied, with tabs for Pending, Approved, Denied, and a request from ABC Contractors for PSIM and Geospatial modules with an included note
Upgrade Requests → Pending, Approved, and Denied totals, each request showing the account, modules requested, date, and an optional note from the requester
Approve and Activate modal for ABC Contractors listing PSIM and Geospatial as requested modules, a Quick Activate checkbox to immediately activate the modules, and an optional response note field
Approve & Activate → Quick Activate immediately switches on the requested modules on the account, with an optional note back to the requester
Deny Request modal for ABC Contractors listing PSIM and Geospatial as requested modules, with an optional response note explaining the denial
Deny Request → the requester is notified automatically, with an optional note (e.g. redirecting them to Sales for a plan upgrade)

Self-serve growth, admin-gated activation. Account admins can request anything from the module catalogue at any time — but nothing activates, and nothing bills, until an Account Management admin approves it here.

Section 10

Deployment & Licensing Options

However an organisation needs to run the platform — in the cloud, on their own servers, or owned outright — Account Management supports the commercial model behind it.

The accounts, plans, and billing tools in this guide apply to any of three ways an organisation can bring the platform in-house. The right fit depends on how much control, sovereignty, and ongoing vendor relationship the client wants.

🔒
Self-Hosted / Sovereign
Client-Owned Infrastructure
For clients who require full data sovereignty and exclusivity, the platform can be deployed entirely on the client's own servers — no data ever leaves infrastructure they control.
  • Full data sovereignty and exclusivity
  • Meets strict regulatory or government requirements
  • Client's IT team manages the hosting environment
📜
Perpetual License
Enquire with our Team
Rather than an ongoing subscription, a perpetual license grants long-term rights to run the platform outright — a fit for clients who prefer a capital purchase over recurring fees.
  • One-time licensing model, not recurring subscription
  • Pairs naturally with self-hosted deployment
  • Contact our team to enquire about terms

Not sure which fits? Cloud-Hosted suits most accounts managed directly through this module's subscription plans. Clients needing data sovereignty, regulatory compliance, or full infrastructure control should ask about Self-Hosted deployment — and any organisation preferring to own the platform outright rather than subscribe should enquire about a Perpetual License. Chat to our team to scope the right model.
